We’re going live with the EMR and other digital applications at Bacchus Marsh and Melton
We’re going live with the Electronic Medical Record (EMR) and other supporting digital applications at Bacchus Marsh and Melton (BMM), and Caroline Springs. This milestone will significantly enhance clinical workflows, communication, and patient management.
Key Changes During Go-Live
The Go-Live will introduce several enhancements, including:
- Extending Western Health’s EMR to BMM sites, alongside deploying essential devices.
- Replacing the BMM Clinical Patient Folder (CPF) with BOSSnet for scanned medical records.
- Transitioning BMM’s iPM to the Western Health unified patient administration system, iPM.
- Moving patient correspondence from Notification Manager to BING.
- Integrating radiology and pathology results in the EMR and BOSSnet.
- Transitioning from the BM BOS to WH BOS system.
- Transitioning from Syberscribe for digital dictation to 3M Modal.
Since 2022, significant work has been completed to align more than 30 other applications and services across BMM sites.
In addition, the BMM Medical Surgical Unit will pilot the Connect Nursing application, an extension of EMR functionality on mobile devices, that further streamlines nursing workflows and patient care.
This achievement reflects months of dedicated effort and collaboration across teams, particularly those at Bacchus Marsh, Melton and Caroline Springs.
Support and Go-Live Schedule
To ensure a smooth transition, several levels of support will be in place, during and after Go-Live. The staged implementation will proceed in two phases:
Week 1: Tuesday, 26th November
- Urgent Care Centres (Bacchus Marsh and Melton)
- Medical Surgical Unit (Bacchus Marsh)
- Maternity (Bacchus Marsh)
- Theatre (Bacchus Marsh)
- Medical Day Unit (Melton)
Week 2: Monday, 2nd December
- Specialist Clinic Outpatients (Bacchus Marsh and Melton)
- Non-Specialist Clinic Outpatients (Bacchus Marsh and Melton)
- Community (Bacchus Marsh, Melton and Caroline Springs)
Important reminder: do not enter or modify data in the EMR or any of the new digital systems until you are informed that your clinical area has fully transitioned during the Go-Live period and is confirmed as EMR active.
Go-Live Support Details
In addition, moving into the Go-Live period a daily communication framework is in place to support the timely escalation and resolution of any issues and support. The existing Daily Operating System (DOS) will support the timely escalation and resolution of any issues. DOS is chaired by me and attended by senior members of the organisation.
Support will commence from 7:00 am on Tuesday, 26th November:
- 24/7 Go-Live Support Team:
- Digital Health team members wearing blue polo tops will be provided with on-the-floor assistance. Support hubs will be located at Bacchus Marsh Hospital conference room and Group Room 168 (Ground Floor), Melton Community Hub (yellow building).
- Go-Live chat: A dedicated Microsoft Teams chat will enable BMM Managers, Super Users, and the Digital Health team to communicate and escalate issues.
- Western Health Service Desk – Call 8345 6777 and Press 1: Available 24/7 hours starting 7:00 am on Tuesday, 26th November until 7:30 pm on Monday, 2nd December. Then transitioning to 12/7-hour support from Tuesday, 3rd December until Sunday, 15th December.
- Quality and Safety team: Onsite to address any clinical safety or quality issues.
- Patient communication materials: Consumer endorsed patient materials will be available for patients at Go-live sites and can also be accessed on the Digital Health site.

This is a challenging, but exciting time, and it’s essential to look after yourself and support your colleagues during the Go-Live period. Take breaks when needed, check in with one another, and don’t’ hesitate to seek help from the onsite support teams.
