2025 EMR Code Upgrade

There will be a comprehensive Electronic Medical Record (EMR) code upgrade scheduled from 8:00 PM Tuesday, 19th August until 6:00 AM Wednesday, 20th August 2025.

This comprehensive code upgrade will ensure Western Health’s EMR system remains up to date, secure, and reliable.

What’s Changing?

While there will be NO EMR downtime, there will be a period of one hour and fifteen minutes, during which integration with the EMR and downstream systems will be interrupted.

Before 8pm

EMR Code upgrade packages installed If you’re using the system, you will:

  • be required to log off and back on immediately up to two times during the evening.
  • receive warnings (10.5, 1 minute) to remind you to save your work before logging off and on again.

During the Upgrade 

From 8pm Tuesday 19th August to 6am Wednesday 20th August 2025 EMR upgrading Potential slowness or error messages that can be clicked through.
From 11.15pm Tuesday 19th August 2025 to 12.30am Wednesday 20th August 2025

 

(approx. 1 hour)

Integration with the EMR and downstream systems will be interrupted Admission, Discharge, Transfer messages will not be received by the EMR from iPM.

Updates to patient location and demographics in iPM will not be reflected in the EMR.

From 1am to 5am Wednesday 20th August 2025 Observations charts updating Observation Charts in EMR will not be available. Refer to our EMR Observation Chart Unavailability Period Plan 2025

After the Upgrade 

From 12.30am Wednesday 20th August 2025

 

EMR integration and downstream systems restored Results, patient location, patient demographics will update in the EMR.

Ordering of pathology and radiology will return to normal.

At 6am Wednesday 20th August 2025 Code Upgrade complete Usability enhancements.

Medical Staff 11.15pm Tue -12.30am Wed (approx. 1 hour) For Pathology and Radiology:

Medical Staff 1am – 5am Wed Use the AD315 Observation Chart to document any new altered calling criteria.
Nursing & Midwifery Staff 1am – 5am Wed Refer to the “Altered Calling Criteria report” (or AD315 Observation Chart) to view patient Altered Calling Criteria between 1am-5am.
Medical Staff from 5am Wed Update EMR with newly documented Altered Calling Criteria from 1am-5am.
Nursing & Midwifery Staff from 5am Wed Contact Medical Staff to update outstanding Altered Calling Criteria, in EMR.

What’s Next?

The Digital Health Operations team members will be onsite during the entire upgrade period to actively monitor the system, provide support and manage any performance issues. There will not be any major changes to the appearance or functionality of the EMR after the upgrade.
